Description:
Provide support to multiple partners and professional staff in a manner that is
professional, efficient, and client-focused.
Create, revise and finalize general correspondence, memoranda, engagement
letters and proposals (per Firm standards)
Draft routine correspondence, memoranda and other documents
Proofread all documents to check for appropriate formatting, spelling and
grammar
Scan and save all pertinent documents, i.e. tax returns, correspondence, etc. to
GoFileRoom; review GoFileRoom for correct information
Assemble tax returns (including e-filing of many returns and monitoring
acceptance)
Prepare and file tax extensions
Enter and maintain contact information into Outlook for Partners and staff
Prepare materials for distribution via mail, courier, messenger, etc.
Prepare expense reports, as requested
Maintain files in an efficient and effective manner
Respond to client requests or refer call to appropriate person
Schedule appointments and make arrangements for meetings including meeting room
reservations, food ordering, agendas and other material, etc.
Work with and provide support to other administrative assistants
Provide Reception coverage as needed
Maintain confidentiality of client information in accordance with Firm policies

Experience:
3 – 5 years secretarial/administrative assistant experience is required
Public accounting experience is desired
High School graduate; Associates degree preferred
Proficient in Microsoft Word, Excel, PowerPoint and Outlook
Fast, accurate typing skills
Accurate spelling, punctuation and grammar
Excellent proofreading skills
Excellent verbal and written communication skills
Excellent organizational skills
Strong attention to detail
Ability to multi-task, set priorities and take initiative
Ability to handle pressure, interruptions, tight deadlines and multiple projects
Professionalism in behavior and appearance
Flexibility, adaptability and ability to work in a changing environment
Ability to handle sensitive information with the highest degree of integrity and
confidentiality
